Group Review

This section details how you can access groups for duplicate review. It will explain how to navigate the page as well as perform all the functionalities of merging records.


To access the 'Group Review' Screen click the 'Review' button:

After clicking the 'Review button' you will be presented with a screen that will show you all of the duplicates from this group along side the Master Record, it will look similar to this:

Note: You can manually change any of the data in the master record simply by double clicking the field you wish to change.

Note: The arrow next to each field lets you push that data to the Master Record.


Editing Records

Once the records have been matched and are being reviewed, it is possible to view the record within CRM and live edit the records. Please select the 'View Record' Button to use this functionality.


False Duplicates

If DQ for Dynamics matches two records that you believe to be a false match you can press:

Once pressed you will have two options:

  • Permanently Suppress
  • Temporarily Suppress

Permanently Suppress: Pressing this will pair the record with the Master so that if the master is located in any session the suppressed record will not be shown.

Note: you can change view settings for suppressed records in the “Custom Settings Menu”.

Temporarily Suppress: Pressing this will suppress the record for this session only and performing another search will result the records being matched again. Suppressed Records view settings


Inside DQ for Dynamics there are two ways to handle duplicate records

  1. Merge them resulting in 1 unique record
  2. Link them in result in 1 parent record that has many duplicate children records

Merge: To perform the Merge action you have 2 options:

  1. Auto Exact & Merge - Uses the rules you defined to perfect the record
  2. Auto Accept & Merge - Uses your manual changes to the data

using either of these options will result in this popup: To perform this action you must confirm you actually want to perform this action you must tick the box. This was implemented to prevent accidental processing.

When Merging the records all data will be perfected (either manually by a user or automatically using defined rules) onto the best record, all duplicate records will then be made inactive with no linking.

Link: To perform the Linking action you have 2 options:

  1. Auto Exact & Link - Uses the rules you defined to perfect the record
  2. Auto Accept & Link - Uses your manual changes to the data

using either of these options will result in this popup:

  • Overwrite Parent: Checking this will force all duplicate records to point to the best record When unchecked records that currently have a parent will be left as is.
  • Accept: This is a confirmation to prevent accidental processing of a group.

When Linking the records all data will be perfected (either manually by a user or automatically using defined rules) however the result will be that you have 1 parent record that have many children. None of the records will be made inactive.


Buttons

Current Queue: This dropdown lets you change between sessions.

Refresh: This button lets you manually refresh the page.

Back: Clicking this will navigate you back to the session results screen.

Prev Group: This will take you back to the last group you worked on.

Next Group: This take you to the next unassigned group.

Record Actions:

  • Auto Promote: This button will scan through the duplicates and make promote one to the Master record.
  • Auto Fill: This button will go through the duplicates and move data into the master based on the global settings.
  • Auto Exact & Merge: This button will merge the records using the global auto match settings defined and ignore any changes you have made.
  • Accept & Merge: This button will merge the records with the changes you have made.
  • Auto Exact & Link: This button will link the records using the global auto match settings defined and ignore any changes you have made.
  • Accept & Link: This button will link the records with the changes you have made.
  • View Record: This button will open the duplicate record inside the CRM view.
  • Promote: This button allows you to manually select it as the best record.

Address Location: This button uses Google Maps to open the address enter to show you the real world location.

Review Screen Width: This setting allows you to change the width of the review screen in which you review your records. Select the cog in the top right hand side of the group review screen.

You will then get taken to this screen where you can vary the grid width of your Review Screen.

Releasing Sub Groups: Once a record has been reviewed by a user, unless the reviewer is an admin, they will not be able to perform any functionalities on this group. The following steps will show you how to release groups so they can be reviewed by another reviewer. Firstly, you will be able to see who has reviewed the group by looking at the following information.

To release these groups, go to 'Release Groups' at the top right of the page and select the drop-down.

This will then show a drop down with all the groups you can release. You can release individual groups by selecting each group separately, or you can release all the groups by selecting the top tick box. You must then select 'Release Groups' to navigate to the next pop-up.

This pop-up will allow you to release groups to other reviewers. You can add notes about the groups followed by selecting 'Release Group' which will take you back to the Group Review Screen, or you can select 'Release Group & Exit' which will take you back to the Session Listing screen.


Search Function

In the review screen you can also search the session results using:

  • Record Name
  • Reviewer
  • Review Status
  • Group

Note: Only one field is required to be populated, but you can include multiple filters to narrow the search.
